End of School Year Guide for Clever, ClassLink, and OneRoster Districts
This guide for digital administrators in ClassLink, Clever, and OneRoster districts explains which actions they need to take before the school year ends. Please contact our support team if you have any questions.
End of Year Checklist

(1) Back Up Data
As the school year ends, we recommend that administrators and teachers export and save their data. Administrators will retain access to historical assessment data from prior school years.

For Teachers
- Live Mode live lessons cannot be exported and will not be accessible once the school year ends.
- Teachers can view reports and assignments from previous school years.
- Teacher annotations in guidance from previous school years will be available.

(2) Verify School Year End Date
In Great Minds, school year dates determine where data will be rostered and what data users can see. The “current” school year is determined based on what school year the current date falls within. This is important for rostering because if future school year rostering data is “synced” on a date that falls within the previous school year’s date range, then the future school year data will overwrite the previous school year data.
Your school year's end date should align to the time period that you want to stop syncing rostering data for that school year. This date should be inclusive of any summer terms you want to continuously roster as summer school is treated as an extension of the prior school year. Users in your district will continue to have access to the previous school year until a new school year is created.
Role Required: District Administrator
- Using the left side menu, navigate to Manage.
- Verify the “End Date” for the current school year: 2023-2024.
- If the end date is correct, move to the next section.
- If the end date is incorrect, fill out the form here, and indicate what the correct end date should be.
(3) Pause Data Sync
If your district rosters through ClassLink or Clever, be sure to pause your rostering data sync with Great Minds until you have connected with your Great Minds Digital Implementation Specialist and are prepared to begin rostering for the new school year. To initiate a sync pause, use one of the resources linked below or contact your Digital Implementation Specialist.

(4) Prepare for Summer School
For Great Minds, summer school is considered an extension of the previous school year. If your district is planning to use Great Minds digital products for summer terms, read the Summer School Rostering Support article to ensure your data is configured properly for summer access.
