This guide for digital administrators in Self-Serve Rostering districts explains which actions they need to take before the school year ends. Please reach out to our support team here if you have any questions.
End of Year Checklist:
- Back up data
- Verify school year end date
- Prepare for summer school (if applicable)
1. Back Up Data
As the 2025-2026 school year comes to a close, we recommend that administrators and teachers export and save any data they wish to retain beyond the current school year.
⚠️ Beginning in the 2026-2027 school year, access to historical data will vary by role:
-
Administrators will have access to CSV reports from the 2025-2026 school year. They can access visual reports in the current school year (2026-2027) only.
-
Teachers will only have access to reports and assignments from the current school year (2026-2027).

2. Verify School Year End Date
In Great Minds, school year dates determines where data will be rostered and what data users can see.
The end date for your school year should align to the time period that your current school year ends, inclusive of any summer terms because summer school is treated as an extension of the prior school year in Great Minds. Users in your district will continue to have access to the previous school year until a new school year is created.
See this article for instructions on verifying and modifying (if needed) the end date of your school year : Edit School Year
3. Prepare for Summer School
For Great Minds, summer school is considered an extension of the current school year. If your district is planning to use Great Minds digital products for summer terms, contact our support team so we can assist in extending your access.
