End of School Year Guide for Self-Serve Rostering
This guide for digital administrators in Self-Serve Rostering districts explains which actions they need to take before the school year ends. Please reach out to our support team here if you have any questions.
End of Year Checklist:
- Back up data
- Verify school year end date
- Prepare for summer school (if applicable)
(1) Back Up Data
As the school year ends, we recommend that administrators and teachers export and save their data. Administrators retain access to historical assessment data from prior school years.

Great Minds® Digital Platform
For Teachers
- Live Mode live lessons cannot be exported and will not be accessible once the school year ends
- Teachers can view reports and assignments from previous school years.
- Teacher annotations in guidance from previous school years will be available.
For Administrators

(2) Verify School Year End Date
In Great Minds, school year dates determines where data will be rostered and what data users can see.
The end date for your school year should align to the time period that your current school year ends, inclusive of any summer terms because summer school is treated as an extension of the prior school year in Great Minds. Users in your district will continue to have access to the previous school year until a new school year is created.
Role Required: District Administrator

Using the left side menu, navigate to Manage.
- Click the gear icon at the top right and select Manage School Years from the drop-down.

Verify the End Date listed for the current school year.

Review the end date listed:

If the end date is correct, move to the next section.

If the end date is incorrect, follow the steps outlined in this article update to the end date: Edit School Year

(3) Prepare for Summer School
Summer school is considered an extension of the previous school year. If your district is planning to use Great Minds digital products for summer terms, create the summer classes in the current 2023-2024 school year to ensure your users will have uninterrupted access.
